Summary:
The 2nd Floor Unit Secretary is responsible for performing secretarial/clerical functions for the patient care setting and is an integral part of the healthcare team in ensuring a smooth flow of day to day operations on the nursing unit.
The Unit Secretary serves as a liaison between the nurses, doctors, and patients as well as other departments within the hospital and is able to thrive in a fast-paced environment requiring a lot of interaction with many people every day.
The Unit Secretary functions under the direction and supervision of the Nurse Manager/Charge Nurse.

6 FTE - 24 hours per week Rotating Shifts - Days/PMsSkill Requirements:
Proficiency in medical terminology or medical transcription.
Basic keyboarding skills, comfort level in using computers and have extensive clerical skills including filing, data entry, copying, scanning, faxing, and switchboard phone systems.
Effective communication skills, patience and the ability to explain information to others in an understandable way.
Demonstrate time-management, prioritization, and exceptional organizational skills Ability to multitask and prioritize in busy, stressful situations Meticulous attention to detail Excellent Customer Service Skills Excellent written and verbal communication skills Works well independently and as a collaborative team member on the Second floor Anticipates needs of unit and communications this information to the unit manager or Charge RN accurately and in a timely mannerJob Duties:
Serves as a liaison between patients, medical staff, hospital staff, contracted services, and visitors.
Greets new patients, families, and visitors and directs them to appropriate waiting area, patient room, hospital dept.
, etc.
Communicates effectively and professionally with co-workers and physicians within the unit as well as throughout the hospital.
Preparation, compilation, maintenance of records on the nursing unit.
Attends to multiline telephones, forwards messages, transfers calls, pages overhead as necessary Has working knowledge of the registration process and can assist with this process as necessary Assists with electronic physician order entry within the unit secretary scope of practice Able to retrieve and input data within the electronic medical record Assists with setting up necessary patient appointments, labs, tests, or transfers as ordered by the physician.
In some instances may be responsible for ordering of supplies and assisting with storage.
Familiar with the process of registration, completes necessary tasks upon admission and discharge.
Maintains patient confidentiality with all interactions Performs chart tear-down after patient discharge, ensuring all documents are removed from the chart and sent to appropriate medical record personnel Has a working knowledge of hospital wide and unit specific policies, procedures, and standards and complies accordingly.
Performs chart audits as indicated by Second Floor Manager, Clinical Operations Coordinator, Charge RN, or PI dept.
Assist Charge RN will printing and assessing surgical schedule multiple times daily Performs other duties as they are assigned.

Demonstrates eligibility for employment in the U.

Ability to relate and work effectively with others Demonstrated skills in verbal and written English communications for safe and effective patient care and to meet documentation standards Willingness to participate in goal-setting and educational activities for own professional advancement BLS certification is required within six months of hire Proficiency in medical terminology or medical transcription is preferred Previous experience as a secretary in a hospital environment is preferred Is aware of professional standards and performs in accordance with them
